FOI Request

To whom it may concern, I am writing to submit a Freedom of Information request in relation to Abbey Ward, Wotton Lawn Hospital. Accordingly, under the Freedom of Information Act 2000, please provide the following information for Abbey Ward for the period 1 April 2025 to 24 April 2025: • Planned staffing levels per shift (day and night) • Actual staffing levels per shift (day and night) • Nurse-to-patient ratios per shift • Breakdown of staff by role (Registered Nurses, Healthcare Assistants, bank staff, and agency staff) • Any recorded staffing shortfalls, red or amber staffing escalations, or capacity concerns • Any documented mitigation measures implemented when staffing levels fell below the planned establishment. This request does not seek any personal or identifiable staff information. If any part of this request requires clarification, please contact me before refusal or redaction so that it may be refined if necessary. You asked:

Please provide the following information for Abbey Ward for the period 1 April 2025 to 24 April 2025:

1.  Planned staffing levels per shift (day and night)

Our response:

Base establishment for Abbey Ward at this time was 5 staff on a late, 5 on an early and 3 on a night, this does not include any clinical need requirements.

Our response:

01 to 13 April – 7 staff on the early and 7 on the late

01 to 13 April – 5 staff on the nights

14 to 18 April – 6 staff on the early and 6 on the late

14 to 18 April – 4 staff on nights

19 to 24 April – 7 staff on the early and 7 staff on the late

19 to 24 April – 4 staff on the nights

You asked:

3.   Nurse-to-patient ratios per shift

Our response:

Abbey Ward has 18 beds

01 to 13 April – 7 staff on the early and 7 on the late

01 to 13 April – 5 staff on the nights

14 to 18 April – 6 staff on the early and 6 on the late

14 to 18 April – 4 staff on nights

19 to 24 April – 7 staff on the early and 7 staff on the late

19 to 24 April – 4 staff on the nights

You asked:

4.  Breakdown of staff by role (Registered Nurses, Healthcare Assistants, bank staff, and agency staff)

Our response:

For the shifts where there are 7 staff there were 3 RMN’s and 4 HCA’s

For the shifts where there were 6 staff there were 3 RMN’s and 3 HCA’s

For the shifts where there were 5 staff there were 2 RMN’s and 3 HCA’s

For the shifts where there were 4 staff there were 2 RMN’s and 2 HCA’s

You asked:

5.  Any recorded staffing shortfalls, red or amber staffing escalations, or capacity concerns

Our response:

During this time frame there were 2 shifts where the required staffing was not available. 17 April early shift there were only 2 RMN’s and 3 HCA’s so they were short of an RMN, this gap was supported by the Band 6 RMN that was on a 9-5 shift and the wider hospital as required. 02 April night shift there was an RMN shortage, this gap was managed within the wider hospital establishment.

You asked:

6.  Any documented mitigation measures implemented when staffing levels fell below the planned establishment.

Our response:

There is a process for requesting additional cover if it is needed, this does not appear to have been needed. On call logs have been reviewed to check this.
